About the Role

We are seeking a proactive and highly organized Admin Executive who will serve a dual function within the firm – managing office operations efficiently while also providing administrative and secretarial support to our legal team. The successful candidate will play a critical role in strategic expansion of the firm and maintaining smooth day-to-day office functions and ensuring high-level support to lawyers and senior staff.

 

Key Duties & Responsibilities

 

Office Management Responsibilities:

  • Oversee daily operations of the office to ensure a productive working environment.
  • Coordinate with suppliers, maintenance, and service providers.
  • Manage office supplies and inventory, ensuring timely replenishment.
  • Handle scheduling of internal meetings, client appointments, and office-wide communications.
  • Maintain records of office expenses, petty cash, and budgeting coordination.
  • Supervise support staff (cleaners, drivers, etc.) and external service vendors.

 

Legal Secretary Responsibilities:

  • Provide comprehensive secretarial support to lawyers and legal teams.
  • Prepare and format legal documents, correspondence, and reports.
  • Organize and maintain physical and electronic filing systems for legal documentation.
  • Manage calendars, schedule hearings, court dates, and client meetings.
  • Liaise with courts, government authorities, and regulatory bodies for submissions and follow-ups.
  • Handle confidential and sensitive information with discretion and professionalism.
  • Prepare invoices, time-sheets, and billing documents in coordination with accounts.

 

Required Skills & Competencies:

  • Strong organizational and time management skills.
  • Excellent written and verbal communication in English & Arabic.
  • High attention to detail and ability to multitask.
  • Professional demeanor with a client-focused approach.
  • Familiarity with legal terminology and regulatory operations & procedures.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Ability to work independently and collaboratively in a high-pressure environment.

 

Qualification & Experience:

  • Bachelor’s degree in Business Administration, Law, or related field.
  • Minimum of 3 to 5 years of experience in a similar role within a law firm or professional services environment.
  • Prior experience in the legal industry is strongly preferred.
  • Knowledge of legal document management systems is an advantage.
